Managing Nonprofit Volunteers and the Role of the Virtual Assistant

Volunteers engage with a nonprofit because they want to support the mission. But whatever work they do for your organization is in addition to their full-time jobs.

That means they often lose track of the projects and tasks they’re assigned, which results in slow forward progress.

Projects Need People to Keep Them on Track

Whether you’re implementing a new website or researching targeted donor prospects, having the project tracked effectively ensures that it will be a positive experience for your nonprofit.

Our Nonprofit Virtual Assistants (NPVAs) are organized, efficient and meticulous. They can navigate an entire project from conception to completion. They ensure that tasks are completed, deliverables and deadlines are met, and that major issues obstructing the project are addressed immediately so the project can finish in a timely manner.

In short, they are a cost-effective way to ensure that the job gets done right the first time.

Here's How We Do It

  • Your NVPA meets with the appropriate committee or team to assess the challenges, benchmarks and obstacles for each project. Mutual expectations are set.

  • Your NPVA navigates the group to a realistic timeline and sets the pace for achieving goals. As part of this, they create effective meeting schedules, statements of work or workplans, budget estimates, timelines, resource plans, and appropriate process documents.

  • Actions items are managed and monitored through the “by whom, by when” model using the appropriate project management tool. Your NPVA will maintain regular check points with all the key stakeholders involved in the project.

  • Your NPVA can assist in developing a nonprofit project budget, with proactive monitoring to ensure that you are staying within budget throughout the project. There should be no surprises.

  • Our NPVAs strong communications skills help to realign the project when necessary, and the regular check points keep the project deviating too far from its schedule and plan.

  • We make sure that all outstanding tasks are completed so that you can close out the project. NPVAs will ensure that all tasks are completed to the high standards that you would expect.

  • NPVAs also prepare materials and assist the team in conducting a post-mortem that includes recommendations for the next project based on their experience not only with your organizations, but based on their nonprofit training and other client experiences.

You do less to accomplish more.

Our NPVAs can track a project from start to finish, engaging volunteers and helping you hit each benchmark as you go along.

They enable you to let go of the small tasks, so that you can focus on the big picture. You gain peace of mind because you know that your project is being handled by someone who is has a proven track record of thriving in a project-based environment with the nonprofit skills to maximize your impact.
